Privacy Policy

1. Who we are

Michigan Elite Sports Academy (“we,” “us,” or “our”) operates the AthletesSuite Academy platform and the AthletesSuite mobile app (together, “the Service”). This policy explains what the Service collects, why, who else sees it, and how long we keep it.

Accounts are issued by an academy to its own athletes, coaches, and trainers. You cannot sign yourself up. The academy decides who has an account and what training records are kept about you.

2. What we collect

We collect only what the Service needs to run a training program:

  • Account information — your name, email address, role, and the academy you belong to.
  • Roster information — the athlete record your academy maintains, such as jersey number and training group.
  • Training records — the workouts assigned to you and what you log against them: sets, repetitions, weight, distance, duration, any notes you type, and whether you marked the workout complete.
  • Attendance — the practices and sessions you were scheduled for and whether you attended.
  • Testing and evaluations — results your academy records for you, and evaluations coaches write about your play.
  • Nutrition, only if you use it — food entries you choose to log, with their calories and macronutrients, and any nutrition targets set for you. Logging food is optional; if you never open Nutrition, we have nothing here.
  • Video activity — which coaching videos you opened and when.
  • A notification token — if you turn on notifications, Apple issues a device token that lets us send you a push. It identifies your installation of the app, not you personally.

3. What we do not collect

We want to be specific here, because these are the things people reasonably assume a sports app does:

  • No Apple Health or Google Fit data. The app does not connect to HealthKit, Google Fit, or any wearable, and does not read heart rate, steps, sleep, or workouts recorded elsewhere on your phone.
  • No analytics or tracking. The mobile app contains no analytics SDK, no advertising SDK, and no third-party tracker. We do not build a profile of how you use the app, and we do not track you across other apps or websites.
  • No advertising identifiers, and no ads.
  • No location data.
  • No contacts, photos, microphone, or files.

4. Your camera

The app asks for camera access for one purpose: scanning the barcode on a packaged food so you do not have to type its nutrition facts. The camera preview is processed on your phone to read the number. No image or video is uploaded, stored, or seen by us. You can decline camera access and type the barcode number instead, or enter the food by hand.

5. Notifications

Notifications are optional and are asked for separately. Push notifications tell you when your academy schedules or changes something; they are delivered through Apple. A rest timer can post a local notification when a rest period ends — that one is created and shown by your phone and is never sent to us or to Apple. Declining either permission leaves the rest of the app fully usable. You can change your mind at any time in iOS Settings.

6. How we use your information

To run the Service: to show you your schedule and workouts, to record what you did, to let your academy’s coaches and trainers do their jobs, to send you the notifications you asked for, and to keep the Service secure and working.

We do not sell your information. We do not share it with advertisers. We do not use it to train machine-learning models.

7. Who else can see it

Inside your academy

Your coaches, trainers, and directors see the training records for the athletes they are responsible for. Nutrition is narrower: only trainers, directors, and administrators can see it, and coaches cannot. Other athletes cannot see your records.

Your school

Michigan Elite Sports Academy delivers its program in partnership with Brighton Area Schools, which issues the hockey grade and the physical education grade for participation. Academy staff use the attendance, testing, and performance records described above to report those grades to the district.

The Service itself does not transmit anything to the district: there is no integration between this software and any school system. Academy staff share what the school requires. Once the district holds a record, it is a school record, kept and governed under the district’s own policies — so a request to see, correct, or remove it has to go to Brighton Area Schools, not to us.

Service providers

We use a small number of providers to operate the Service. They process data on our instructions only:

  • Supabase — our database, sign-in, and file storage. Your records live here.
  • Vercel — hosts the web application.
  • Resend — sends sign-in emails. Receives your email address and the message.
  • Apple (APNs) — delivers push notifications. Receives the device token and the notification text.
  • Open Food Facts — the public food database behind barcode scanning. We send it the barcode number and nothing else: no name, no account, no indication of who is scanning.
  • YouTube, Vimeo, and Hudl — play videos your academy has posted. When you open a video, the provider receives the request and may set its own cookies under its own privacy policy. We use privacy-enhanced YouTube embedding where available.
  • Instagram and Facebook (Meta) — play videos your academy has linked from those platforms. Unlike the providers above, Meta sets its own cookies as soon as one of its players loads, so the app does not load it until you tap the video. Before you tap, nothing about you reaches Meta; after you tap, Meta receives the request under its own privacy policy, and if you are signed in to Instagram or Facebook in your browser, it may connect the view to that account. Videos are linked, never copied: they stay on the platform that hosts them and can be removed by whoever posted them.

We may also disclose information if the law requires it, or to protect someone’s safety.

8. Data stored on your phone

The app is built to work without a signal, so your schedule, workouts, and anything you log are stored on your device and synced when you reconnect. Your sign-in credentials are held in the iOS Keychain. Deleting the app removes this local copy; it does not delete your account.

9. Deleting your account

You can delete your account from the app, under More → Profile and settings. Deletion is immediate and cannot be undone. Here is exactly what happens.

Deleted permanently

  • Your login and authentication data.
  • Your notification device tokens.
  • Every food entry you logged, and your nutrition targets.
  • Your video watch history.
  • Any notes you typed on your training sets.

Retained, and why

Your attendance, testing results, coach evaluations, and the numbers from your logged workouts are kept. These records document the hockey grade and the physical education grade that Brighton Area Schools, our education partner, issues for your participation. They are the coursework behind an academic grade, and we cannot destroy them on request without destroying the basis for a grade already awarded.

When you delete your account, these records are detached from your login: the account identifier is removed from them, and they remain with the academy as part of its student records rather than as part of a user account.

Retention period: we retain these records for seven years after the end of the last school year in which you participated, after which they are deleted. The period is set to cover the time the associated Brighton Area Schools records are kept, so the coursework behind a grade outlives neither the grade nor the school’s own record of it.

If you believe records about you are being kept without a basis, contact your academy — and us, at the address below — and we will review it.

10. Your choices

  • Decline camera access, notifications, or both, and keep using the app.
  • Skip nutrition logging entirely.
  • Ask us for a copy of the information we hold about you.
  • Ask us to correct information that is wrong.
  • Delete your account, as described above.

11. Age of users

The Service is intended for athletes aged 13 to 18 and for academy staff. It is not directed to children under 13, and we do not knowingly create accounts for them. Accounts are issued by the academy, which is responsible for obtaining any parental consent its program requires. A parent or guardian may contact us at the address below to review or request deletion of their child’s information, subject to the retention rules in section 9.

12. Security

Data is encrypted in transit and at rest. Access is enforced in the database itself, so an athlete can reach only their own records and staff can reach only the athletes in their academy. No system is perfectly secure, but this is the standard we hold ourselves to.

13. Changes to this policy

If we change what we collect or how we use it, we will update this page and change the date at the top. Material changes will be communicated through your academy.
